Business email privacy

Prepared October 26, 2026. This notice describes the TRR Business Email integration. The public website and service-text privacy notice describes those separate services.

Google account information and permissions

The integration uses the Google account email and its verification status to confirm that the connected account is the approved TRR business mailbox. It requests basic sign-in information and Gmail sending permission. It does not request Gmail inbox-reading or message-deletion permission.

Information processed

TRR stores the connected sender address, connection date, encrypted authorization needed for ongoing sending, and connection error status. For messages initiated by authorized portal workflows, TRR processes the recipient address, subject, message content, applicable private portal links, and sending status. Google returns a sending receipt when it accepts a message. The integration does not fetch existing Gmail messages or recipients' contact lists.

Purpose and service providers

This information is used to send authorized business service emails, verify the sending account, prevent duplicate attempts, diagnose failures and support account security. Google processes messages for Gmail delivery. Cloudflare hosts the portal, its protected records and backups. Message content is shared with the intended recipients as part of sending.

Google account information and authorization obtained by this integration are not sold, used for advertising or used to train AI models. TRR Business Email's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Security and retention

Ongoing Gmail authorization is encrypted in application storage. Business email settings and sending actions require authorized owner access. Connection and sending records are kept while needed to operate the integration, investigate delivery issues and maintain business records. Backups may retain earlier records under their retention schedule. No storage or transmission method is completely secure.

Disconnecting and deletion requests

The owner can use Disconnect in the portal's Business email settings to remove its active saved Gmail connection. The owner can also revoke the app's authorization in their Google Account connections settings. Disconnecting does not delete messages already sent or received, or automatically erase business sending records.
